Manual edits in Fincome: how it works

Fincome lets you adjust your data manually, directly from the platform, to match the reality of your business. This article recaps the types of manual edits available and explains two essential rules: a manual edit always takes priority over synchronization, but it is not kept if its source data is deleted.


What is a manual edit?


Fincome automatically synchronizes with your billing systems (or your file imports) to build your metrics. But in some cases, you need to step in by hand to correct, clarify, or model a specific situation.


This is what we call a manual edit: a change you apply yourself, directly in Fincome, on top of the synchronized data.


It is especially useful for small, one-off fixes you want to apply immediately from Fincome, without having to:


  • go through a bulk correction via an Excel file, or
  • correct the data in your billing tool — in which case the change would only flow back into Fincome at the following night's synchronization.


Manual editing saves you time: the fix is taken into account right away, exactly where you need it.


The main types of manual edits


Depending on what you want to adjust, the edit is made in a different place on the platform:


  • Adjust or correct an object (invoice line, subscription…). You can correct an invoice line (apply a discount, fix an incorrect amount or date, apply a retroactive reduction), but also edit other objects — for example a subscription, by adding a commitment date or a cancellation date. → Adjust and correct invoice lines
  • Connect (merge) subscriptions. To avoid spurious MRR movements when a subscription changes (overlapping or disjointed periods). → Connect subscriptions
  • Merge customers. To group several entities that actually correspond to the same customer and consolidate your metrics correctly. → Merge customers


Rule #1: a manual edit always takes priority over synchronization


As soon as you change a piece of data by hand, your change takes priority. Even if Fincome later re-synchronizes that data with your billing system, your manual edit is kept and is not overwritten by the sync.


In other words: the hand you put into the data has the final say. This is what lets you keep fine-grained adjustments (discounts, corrections, commitment or cancellation dates) without them being erased at every automatic update.


Rule #2: a manual edit disappears with its source data


This is the most important point to keep in mind. A manual edit stays attached to the data it applies to. If that source data is deleted, the manual edit is deleted with it — and it is not restored if the data comes back later.


Concrete example:


  1. You import an Excel file containing an invoice line.
  2. You apply a manual edit to that line (for example, a forgotten discount).
  3. You delete the Excel file: the invoice line disappears, and so does your manual edit.
  4. You re-import the same file: the invoice line reappears, but without your manual edit. It comes back in its original state.


You will then need to redo the manual edit on the re-imported data.


Good to know: before deleting a data source (imported file, integration), check whether any manual edits are attached to it. This will save you from losing adjustment work and having to redo it.



FAQ / common mistakes


My manual edit disappeared — why?
Most often, it's because the source data was deleted and then re-imported (a refreshed Excel file, a reconnected integration…). The edit is not kept in this case: you need to re-apply it.


Will synchronization overwrite my corrections?
No. As long as the source data exists, your manual edit takes priority over the sync and stays in place.


I'm replacing my import file with an updated version — are my edits kept?
No. If the old file is deleted, the edits attached to its lines are deleted too. Plan to redo them on the new file.
